HellaSync is the data pool created by GS1 Association-Greece for the greek market, aiming to better the efficiency of supply chain operations.
It is a platform through which commercial partners in Greece and abroad can enter, store, exchange and ultimately synchronize, complete and reliable product data with each other, in a simple and standardized way.
HellaSync is a certified GS1 GDSN data pool, meaning it enables its users to connect to the GS1 Global Registry, an international product catalog that includes millions of codes and is already used by thousands of businesses around the world.
HellaSync has more than 300 entry fields for product characteristics, such as logistics data, marketing data and information required for compliance with the European Regulation 1169/2011 on food. It harmonizes with the international standard GS1 Global Data Model and includes the required elements of Verified by GS1.

What we envision is for all master product information to be communicated by the suppliers to all functions of the business through Data Pool and GDSN.

How is data synchronization achieved?

Brand owners or product manufacturers are the Sellers who act as Data Suppliers and enter in a structured manner in a data pool, the main data of their products for the entire product hierarchy, e.g. GTIN, classification, marketing and logistics data, nutritional labeling data. In addition, they enter information of their business such as GLN, contact details, contacts, address, etc. They then communicate all this information to their trading partners.
Retailers, wholesalers, e-shops, etc. are the Buyers, they are connected to a data pool and function as Data Recipients. Through the global GDSN, they are given the opportunity to obtain data that the supplier communicates to them directly (local or international partner) but also to search for product data (locally/internationally) with various search criteria from suppliers who are users of the GDSN. Data Recipients are automatically notified when there are updates from their trading partners and receive in their systems the publications or changes of the product data.
Connecting data pools from various countries to the GDSN enables the data extraction process using a central information source, the GS1 Global Registry.
Who uses HellaSync data pool?
HellaSync users are companies that take on the role of data supplier or recipient and through the data pool are interested in exchanging and ultimately synchronizing data and information related to products.
HellaSync ensures that trading partners maintain the same information in their systems and any changes made to supplier data are recorded only once and automatically sent to all interested parties. The process can be done by a user or automated machine-to-machine.

HellaSync ensures that product information is compliant with GS1 standards and does not contain technical or logical errors in the hierarchy of trading units while checking that trading unit information:
Contains specific indicators
For some trading unit information, such as product category and packaging type, only specific values are allowed.
Follows the GTIN management rules
The rules describe which changes to a product require a new GTIN to be assigned and which changes are allowed without changing the GTIN.
Contains reasonable values
For example, the maximum storage temperature must be greater than the minimum storage temperature.
Complies with specifications
They comply with the requirements of the national market and meet the conditions for the product's inclusion in it.
Contains readings that add up correctly
For example, the sum of the gross weight of the contents of a pallet should be less than or equal to the gross weight of the pallet.

Premium
The Premium subscription category provides the HellaSync service as well as training, support and 2 product registrations.
HellaSync service requires at least a GLN code for the unique identification of the company in the GDSN. By sending the relevant registration request for the service, you will join the Pre-Production test user environment and will be trained in the GDSN environment and for the use of HellaSync. After the familiarization period, you transition to HellaSync Production environment and start importing product data for their synchronization with GDSN partner-users. To gain access to the service the company must upgrade to Premium category.
